Assigning and delegating tasks

Hand a task to a teammate by name, when you create it or afterwards — and the accept, decline, submit-for-review and review lifecycle it goes through once someone else owns it.

Assign it to someone else, by name

A task doesn't have to stay on your own list. Tell emily who it's for by name — "assign this to Maria", say, on web chat, browser voice or WhatsApp — whether you're creating a new task or handing off one that already exists, and she looks the name up among your teammates and makes them the task's owner. Creating a task on the Tasks screen itself offers the same choice as a picker, labelled Assign to (optional), so you can set the owner there without saying a name at all.

If the name doesn't resolve cleanly

Give emily a name that matches more than one teammate, and she won't guess which one you meant — she lists the matches and asks you to pick. If the name matches nobody in your organisation, she tells you that instead, rather than silently leaving the task unassigned or handing it to the wrong person.

Pending, accepted, in review, done — or declined

Once someone else owns a task, it carries a status beyond simply open or done. It starts Pending, and the person it's assigned to can Accept it or Decline it. Once accepted, the task shows as Accepted, and they can Submit for review when they're done, which moves it to In review. From there, whoever created the task can Mark reviewed, closing it out as Done. Declining isn't only a first answer: someone who accepted a task can still decline it afterwards. Either the creator or the person it's assigned to can reopen a task that's Done or Declined, which puts it back to Pending.

Reassigning starts that lifecycle over

Give the same task to a different teammate, again by name, and it goes back to Pending for them — whatever acceptance or review progress it had under the previous owner doesn't carry over.

Who assigned it, and when

Assigning or reassigning a task records who did it and when, the same as any other change on a CRM record. A task you handed over stays in view for you as its creator; the rest of that teammate's list doesn't — see tasks for which tasks you see.

Where it works

CRM works on web chat, browser voice and WhatsApp. Not on a phone call.
